What we collect when you enquire about training, what we do with it, and what we will never do with it. Plain language, and shorter than most.
Who this policy covers
Fitness RX is the personal-training practice of Craig Chapin, NASM Certified Personal Trainer, working out of Empire MMA and Fitness, 5006 S MacDill Ave, Tampa, FL 33611. "We", "us" and "our" mean that practice. "You" means whoever is reading this — a visitor to this site, somebody who has sent an enquiry, or a training client.
This policy covers personaltrainertampa.com and the enquiries, bookings, calls, emails and text messages that come out of it. It does not cover the other websites we link to, each of which has its own policy.
What we collect
Everything here is something you typed or told us. There is no account to create on this site, no password, and no profile building in the background.
- Contact details
- Your first and last name, your phone number and your email address, from the scheduling form or from an email, call or text you send us.
- What you are training for
- What you are working toward, whether you want one-on-one or group training, the days and times you are available, and anything you write in the notes field. All of it optional except the availability the form marks as required.
- What you say to us
- The content of your messages — email, text, voicemail — and notes we make about your training so that the next session picks up where the last one left off.
- Basic technical data
- Our host and our form provider keep ordinary server records: IP address, browser and device type, the pages requested and when. We use them to keep the site up and to block abuse, not to build a profile of you.
What we do not collect here. This site takes no payment, so it never sees a card number or bank details — training is paid for directly with Craig. We run no advertising pixels and no cross-site ad tracking, and we do not sell or share anything with advertisers. We use Google Analytics to count visits, which is described in its own clause below. We do not ask for health information through this site — what we are told about an injury or a condition is covered next.
What you tell us about your health
Training safely means knowing what we are working with. Most of what we hold about your health is something you said out loud — an old knee, a disc, a shoulder that complains overhead, how a pregnancy went, what your doctor has told you to avoid.
- It is used for one thing: programming and running your sessions safely.
- It is never sold and never shared for marketing — the same promise this policy makes about your phone number.
- It is not shared with an employer, an insurer or anyone else without your say-so, unless the law requires it or somebody is in danger.
- It is kept with your training records and for the same period, and you can ask us to correct or delete it.
We are a training practice, not a healthcare provider, so this is not medical record-keeping and we are not your physician — see the health and risk clause in our Terms & Conditions. Tell us only what you are comfortable telling us; tell us anything that affects whether an exercise is safe for you.
What we do with it
Only these things:
- Answer you — a call back, an email, or a text, whichever you asked for.
- Book, confirm, move and remind you about sessions.
- Plan and run your training safely, including around an injury you have told us about.
- Keep ordinary business records: who trained when, what was agreed, what was paid.
- Meet a legal or tax obligation, or deal with a dispute if one ever arises.
We do not use your information to make automated decisions about you, and we do not sell it. If you have not asked to hear from us, we do not send you marketing.
Mobile information, text messages and consent
If you give us your mobile number we use it to reach you about training — to call you back, to set a time, to confirm or change a session, and to answer what you asked. Whether any of that arrives as a text message is your choice, and you make it explicitly.
How we get your consent to text you:
- On this site
- The scheduling form on our booking page and our contact page asks for your phone number, and asks separately — in a box you tick yourself, never pre-ticked — whether you agree to receive text messages from us about your enquiry and your sessions. You can send the form without ticking it, and we will call or email you instead.
- By phone, by text or in person
- If you text us first, or ask on the phone or at the gym to be reached that way, that is consent as well, and we record when and how you gave it.
The rest of the program, in short:
- Message frequency varies — messages are sent in reply to you and around sessions you have booked, not on a schedule.
- Message and data rates may apply. We charge nothing for a text; your mobile carrier may.
- Reply STOP to any message to stop receiving them. You will get one confirmation and nothing after it.
- Reply HELP for help, or call 813-310-4323.
- Carriers are not liable for delayed or undelivered messages.
- Agreeing to text messages is never a condition of training with Fitness RX or of buying anything.

How long we keep it
- An enquiry that never becomes training: kept while we are answering it, then for up to two years in case you come back, then deleted.
- Client records: kept for as long as you train with us and for seven years after, which is the window business and tax records have to survive.
- Text-message consent and opt-out records: kept for as long as the law requires us to be able to show what you agreed to, and no longer.
Ask us to delete something sooner and we will, unless we are required to keep it.
Your choices and your rights
Whoever and wherever you are, you can ask us to:
- Tell you what we hold about you, and give you a copy.
- Correct anything that is wrong.
- Delete it, subject to the records we are required to keep.
- Stop contacting you — by text (reply STOP), by email, or altogether.
Ask by phone on 813-310-4323 or by email at craigchapin@gmail.com. We answer within 30 days, we do not charge for it, and we will never treat you differently for asking. Depending on where you live you may have further rights under your own state or national law; tell us and we will honour them.
How it is protected
This site is served over HTTPS, and the form posts to its provider over an encrypted connection. Access to enquiries and client records is limited to Craig and to the providers listed above. No system is perfectly secure, and we will not pretend otherwise — but nothing sensitive is collected through this site, and no payment details ever pass through it.
Children
This site is meant for adults and we do not knowingly collect information from anyone under 13. Training a minor is arranged with a parent or guardian, who gives consent and supplies the contact details. If you believe a child has sent us information, tell us at craigchapin@gmail.com and we will delete it.
Changes to this policy
If this policy changes, the new version goes up on this page and the date at the top moves. Material changes to how we use your mobile number will never be applied retroactively — we would ask for your consent again.
